Choosing Solar Cleaning Estimate Software: What to Check Before You Switch
Plenty of solar cleaning companies quote from a notepad, a spreadsheet or a generic invoicing tool, and it works until it does not. Quotes get lost, prices drift, approvals sit in text threads and nobody follows up. Estimate software fixes that, but only if it fits the way solar cleaning is actually quoted. Here is what to check before you switch.
Looking Back Before Looking Forward
Common Mistakes When Quoting Solar Panel Cleaning listed the problems that cost companies money. Use that list as your test. Good estimate software should make each of those mistakes harder to make. If a tool cannot help with the mistakes you make most, it is not the right tool.
1. Does It Price the Way You Do?
A solar quote is built from a panel count and a handful of add-ons. Check that the software can handle:
- A per-panel cleaning price multiplied by a count, or flat tiers if you use them.
- A minimum job charge for small systems.
- Story add-ons for 2-story and 3+ story roofs, and a steep-pitch add-on.
- Bird proofing per panel, critter guards and an inspection as separate lines.
- Sales tax on the lines that need it.
Most important: can you set all of it up once on a service list and build every estimate from it? If you are still typing prices by hand, you have not fixed the consistency problem.
2. Can Customers Approve Online?
The estimate should go to the customer as a link they can open on a phone and approve without printing, signing or creating an account. Check what the customer actually sees. Is it clean, clearly branded and easy to read? Ask yourself whether your least tech-savvy customer could approve it.
3. Does the Yes Become a Job?
This is where many generic tools fall short. An approval that just sends you an email means someone still has to retype it into a schedule. Look for software where the approved estimate becomes the scheduled job, ready for a truck and a day.
Then check what the job holds. A solar cleaning job needs the panel count, mount (roof, ground mount or carport), stories, pitch, extras and access notes such as the spigot, roof access side, gate code and dog. Those should be entered once and show on every visit after, on the office lists and the tech's phone.
4. Does It Work From Your Website?
Many customers will never call. Check for:
- A quote request form for your website.
- A sign-up form that shows your pricing and captures a card.
- One place where requests and sign-ups land, and a quick way to turn a sign-up into a client.
Test both forms yourself during a trial. Fill them out on your phone as if you were a homeowner, then see where the response lands and how many clicks it takes to turn it into a client and a job. If the path from your website to your schedule is long or confusing, it will be skipped on busy days.
5. Does It Help You Follow Up?
Unanswered quotes are lost money. Look for automated reminders by text and email, and two-way texting from the office so conversations with customers stay in one place instead of on someone's personal phone.
6. Does It Handle Plans and Commercial Accounts?
Quoting is only the start. Check whether the same software can:
- Run twice-a-year, yearly and quarterly plans that come due on their own.
- Hold one client with many addresses.
- Send a property owner one monthly statement covering every building, labeled by address.
- Route trucks, run a tech app on the crew's phones and charge the card on file at completion.
Estimate software that stops at the estimate leaves you juggling a second and third tool for everything else.
7. What Does It Cost, and How Do You Try It?
Look for simple, published pricing and a real free trial. SolarCleaningBossPro has three plans, Start at $59, Pro at $89 and Crew at $199 per month, with estimates, online approval and website forms on every plan, and a 14-day free trial with no credit card.
During any trial, quote three real jobs from start to finish: a simple one-story roof, a two-story roof with bird proofing and a commercial array. If all three are easy to quote, approve and schedule, you have found a fit. If you already keep customers in a spreadsheet, a CSV import brings them in, with addresses placed on the map automatically.
