Monthly Statements per Account: One Bill for Every Commercial Solar Site
Ask a facility manager what they want from a vendor and somewhere near the top of the list is “one bill.” Not a separate invoice for every building. Not an invoice for the roof and another for the carport at the same address. One statement, at the end of the month, that their accounts payable team can approve and pay in one go.
Why Commercial Customers Want One Bill
The account structure in One Account, Many Addresses: Setting Up Commercial Solar Cleaning Clients is what makes this possible. With every site under one client, the bill can cover every site too.
Inside a business, every invoice is work. Someone has to match it to a vendor, check it against a purchase order, get it approved and cut a payment. Ten invoices from one vendor is ten times that work, and ten chances for one of them to get lost. A single monthly statement is simply easier to pay, and easier-to-pay bills get paid sooner.
It is easier for you too. One statement to send, one payment to watch for, one past-due follow-up if it runs late.
How Monthly Account Billing Works
In SolarCleaningBossPro, set a client to Monthly billing. From then on, when a job at any of that client's addresses is completed, it does not go out as its own invoice. Instead, at the end of the month, the client gets one statement covering every building or site cleaned that month.
Each line on the statement is labeled with the address. A property owner with four buildings cleaned in March sees four lines, one per building, each with its own address and its own line items. Sales tax is calculated on the statement. The owner or their bookkeeper can see exactly which property each charge belongs to.
What a Statement Might Look Like
Say a property owner has a warehouse, two office roofs and a carport, all on a quarterly plan, all cleaned in the same week in April. Their April statement shows:
- Warehouse B, with the per-panel cleaning line and an inspection line
- Office Building 1, with the per-panel cleaning line
- Office Building 2, with the per-panel cleaning line and a 2-story add-on
- North Carport, with the per-panel cleaning line and bird proofing
- Sales tax and the total
In May, if nothing was cleaned, there is nothing to bill. In July, when the quarter comes back around, the same four lines appear again.
If the buildings fall out of step, say the carport was pushed into May because the lot was being resurfaced, the statements simply follow the work. April shows three buildings, May shows the carport. Each statement covers whatever was actually cleaned that month, so the owner never pays for a building before the work is done.
Paying the Statement
Commercial customers pay in different ways. Some keep a card on file and want it charged. Some pay online from the customer app, where they can see invoices and update their card. Some pay by check or bank transfer through their own accounts payable process, on their own schedule. Whatever the method, the statement is the single document they pay against.
When a statement sits unpaid, past-due follow-up sends the reminder so you do not have to make the awkward call. For the bigger picture on commercial invoices, see Commercial Solar Cleaning Invoices: Line Items by Address, Sales Tax and Getting Paid.
Purchase Orders and Accounts Payable
Many businesses, schools and property management companies need a purchase order number on every bill. Others want the statement sent to an accounts payable email, not to the facility manager. Store those details in custom fields on the client so the office knows where the statement goes and what it needs to say. Ask about this before the first visit. A statement that goes to the wrong inbox can sit for weeks.
When Monthly Billing Makes Sense
Monthly billing fits best when:
- The client has more than one building or site.
- The client has an accounts payable process and does not want cards charged on the spot.
- The client wants to see every property on one document for their own bookkeeping.
For a small business with one array and an owner who is happy to have a card charged when the job is done, card on file at completion is simpler. You can set each client up whichever way they prefer. Residential customers usually stay on card on file.
Statements and Renewals
A clean, predictable statement every quarter is part of what keeps commercial customers renewing. They see the same buildings, the same lines and the same prices they approved. No surprises, no chasing, no confusion about which building was which. That steady record is easier to defend when the owner reviews vendors at the end of the year.
