What the Office Sees When a Solar Cleaning Tech Completes a Job
For the tech, Complete is the last tap at a stop. For the office, it is the start of several things at once. Paperwork that used to happen at night or at the end of the week happens the moment the tech finishes the roof. This guide follows a single Complete tap from the phone to the office and shows what lands where.
Where It Fits
The office already knows where the truck is from the map, covered in Crew GPS on the Office Map: Knowing Where Every Solar Cleaning Truck Is. What the map cannot say is whether the job is actually done. That is what Complete tells the office.
The Job Moves to Done
On the office side, the job moves from scheduled to started (when the tech tapped Start) to complete. Anyone in the office looking at the day's list can see which jobs are done, which are underway and which have not started yet. Nobody has to call the truck at lunch to ask how many roofs are left.
Jobs that were skipped show up too, with the tech's note explaining why. Wind, heat, rain, a locked gate, no safe roof access. The office can reschedule and text the customer right away.
Photos and Notes Are Attached
Every photo the tech took in the app is on the job: the dusty array before, the clean glass after, the nest under the north edge, the spigot behind the shrubs. Every note the tech wrote is there too.
This is where a lot of office work starts:
- A note about pigeons under the array becomes a bird proofing estimate from your service list.
- A note that the panel count was wrong becomes a fix to the job and its pricing.
- A note about a new gate code or ladder spot becomes an update to the access notes, so the next visit shows it.
- A photo of a cracked panel is saved in case the customer asks about it later.
Writing notes the office can actually use is covered in Writing Job Notes the Next Solar Cleaning Tech Can Actually Use.
The Invoice Is Created
Complete creates the invoice from the job's line items, with sales tax where it applies. The office does not type it up. If something on the card was not done and the tech noted it, the office adjusts the invoice before or after it goes out, depending on how you run billing.
The customer sees the invoice in the customer app, where they can view it and pay online.
The Card Is Charged, or the Statement Grows
If the customer has a card on file and the account is set to charge on completion, the card is charged when the tech taps Complete. The office sees the payment against the invoice. Customers without a card on file have an open invoice, and past-due follow-up takes care of the ones who forget.
Property owners and businesses on monthly billing work differently. Each Complete adds a line to that month's statement, labeled with the building's address. At the end of the month, the owner gets one statement covering every site cleaned.
The Next Cleaning Comes Due on Its Own
For a customer on a recurring plan, Complete also sets up the next visit. Plans run on minimum days between visits: roughly 90 for quarterly commercial arrays, 180 for twice-a-year homes and 365 for yearly. Once that time passes, the job shows up again on the Waiting List map as due now, and later as overdue if it slips past a seven-day grace. The office does not keep a reminder calendar. The plan does it.
This is how a solar cleaning company keeps hundreds of twice-a-year customers coming back without anyone tracking them by hand.
Reports Stay Current
Because everything is recorded as the tech works, reports in the office are current. Jobs done, invoices created, payments received, skips and their reasons. The owner can look at the week so far on a Wednesday instead of waiting for Friday's paperwork. That makes it easier to spot problems early: a truck with a lot of skips, a customer with an unpaid balance, a route that is running behind.
One Tap, a Lot of Work Done
The tech taps Complete and moves on to the next roof. Behind that tap, the office gets the job status, the photos and notes, the invoice, the payment or statement line, and the next recurring cleaning, all without anyone typing. That is the real payoff of putting the tech's day on a phone. For more on the tech side, visit the SolarCleaningBossPro solar cleaning app page.
