Moving Customers Between Solar Cleaning Plans

Customers change. A yearly homeowner notices the panels look dirty again by fall and wants twice a year. A commercial owner trims the budget and drops from quarterly. A family adds a carport array and suddenly has two systems on the same property. A good plan setup lets you move customers from one plan to another without starting over.

Plans Are Not Contracts Carved in Stone

Adding an Inspection Every Other Visit to a Solar Panel Maintenance Plan looked at adding value to a plan. Moving a customer between plans is the other common change, and it happens more often than most owners expect.

In SolarCleaningBossPro, a plan is the minimum days between visits set on the job: 365 for yearly, 180 for twice a year, 90 for quarterly, or whatever spacing you choose. Changing the plan is just changing that number. The panel details, access notes, extras, tags and card on file all stay right where they are.

Moving Up: Yearly to Twice a Year

The most common move, and the best one for your business. It usually starts with the customer noticing something: heavy pollen this spring, dust after a dry summer, or birds that found the array. Sometimes the tech notices first and notes heavy buildup on the job.

When the customer agrees, change the days between visits from 365 to 180 and add the Twice a Year tag. The next cleaning counts from the last completed one, so if they were cleaned four months ago, they will come due in about two more months.

Do not push every yearly customer to move up. Suggest it when the evidence is on the roof, and let the photos make the case.

Moving Down: Quarterly to Twice a Year

Commercial clients sometimes cut back. Budgets change, ownership changes, or a site turns out to stay cleaner than expected. Moving down is better than losing the account.

Change the days on the affected addresses from 90 to 180. If the client has several sites, you can move some and leave others on quarterly; each address keeps its own plan. The monthly statement keeps working as before, with fewer lines in the months a site is not cleaned.

Note why they moved down. If the budget comes back next year, that note is your reason to call.

One-Time to a Plan

The move that builds your recurring base. Set the days between visits on the job and the cleaning comes back on the Waiting List from the next completed visit. The full approach is in Turning One-Time Solar Panel Cleanings Into Recurring Plans.

Changing Price With the Plan

If you charge plan customers a different rate from one-time customers, or a different rate per plan, update the price on the job when the plan changes. A customer moving from yearly to twice a year at a plan rate should see that rate on the next invoice, not a surprise.

Tell the customer the new price by text before the next visit. Two-way texting from the office keeps the conversation in one place, and any reply comes straight back.

Adding or Changing Systems

Sometimes the plan stays the same but the property changes:

Every change made on the job shows on every visit after, so the tech is never working from old information. More on that in Panel Details That Carry Over to Every Recurring Solar Cleaning Visit.

Keep the Tags Honest

When a customer moves plans, update the tags too. A customer tagged Twice a Year who is now yearly will show up in the wrong lists and reports. Clean tags are what make filtering, spring texts and plan counts trustworthy.

When a customer changes plans, a quick confirmation text keeps everyone on the same page: “You're now on our twice-a-year plan. Your next cleaning will come due in about two months.” It costs one text and prevents the confused call when the truck shows up sooner than they expected.

Flexible Plans Keep Customers

A customer who can move up, down or sideways without friction is a customer who stays. For how plans, the Waiting List and billing fit together, visit the recurring solar cleaning software page.
