Skipped Stops: Handling Locked Gates, Dogs and No Access on a Solar Cleaning Route
Every solar cleaning route has a stop that cannot be done. The side gate is locked and the code was changed. A large dog is loose in the yard. The spigot is turned off at the valve inside the house. The homeowner forgot and parked the camper where the ladder goes. Skips are normal. What matters is that a skip is handled once, cleanly, and does not turn into a customer who quietly never gets cleaned.
Skip Is One of Three Buttons
How techs work the day with Start, Skip and Complete is covered in The Route on the Tech Phone: How Solar Cleaning Crews Work the Day in Order. Skip is the button nobody likes using, but using it properly is what keeps the office, the customer and the route in sync.
What the Tech Should Do
When a stop cannot be done, the tech taps Skip and writes a short note saying why. Good notes are specific:
- “Gate code 2210 did not work, nobody home.”
- “Two dogs loose in back, did not enter.”
- “Spigot has no water, valve must be off inside.”
- “Wind too strong for the 2-story roof.”
A photo helps too, like the closed gate or the empty spigot. Then the tech moves on to the next card. No climbing fences, no going near a dog that looks unhappy, no going on a roof in conditions that feel wrong.
What the Office Sees
Skips come back to the office with the tech's note. The office sees which stop was skipped, why, and where the truck is on the office map. That is enough to decide what to do next without calling the crew.
Sometimes the fix is quick. A text to the customer through two-way texting, “Our crew is at your house but the gate code didn't work,” may get a reply with the new code within minutes. If the truck is still nearby, the office can put the job back on today's route at a later spot.
Rescheduling the Skip
When the job cannot happen today, the office moves it to another day. The best day is usually the next time a truck is in that area, so the job slots into a route that already goes past the house. Text the customer with the new day, and the night-before reminder will follow on its own.
If the skip was for weather, the job usually moves with its neighbors as a group. Rain-day handling is covered in Rain Days and Rescheduling Solar Cleaning Jobs Without Losing Track.
Fix the Cause on the Address
The most useful thing to do with a skip is make sure it does not happen again. Access notes live on the address and show on every visit. If the gate code changed, update it. If there is a new dog, note it, and note what the customer wants done about it. If the spigot is shut off inside in winter, say so, and ask the customer to turn it on before cleaning day.
Some skips point to a customer who needs a different arrangement altogether. A homeowner who is never home and keeps the gate locked might prefer to leave a key with a neighbor, or have the crew come on a weekend. Agree on it once, write it in the access notes, and the stop stops being a problem.
Because notes are entered once and shown on every visit after, one update fixes the stop for good. That is the difference between a skip that happens once and a skip that happens every six months.
Skips and Recurring Plans
A skipped recurring cleaning is still owed. It does not reset the plan's clock, because only a completed cleaning does that. If it sits too long, it shows as overdue past the 7-day grace on the Waiting List map. That color is a safety net: no matter how busy the week gets, an overdue pin is a reminder that someone is still waiting.
The dispatcher's morning routine should include a pass through yesterday's skips, so none of them reach overdue by accident.
Reducing Skips Up Front
Most access skips can be prevented. Night-before reminders prompt customers to open gates and bring dogs in. On-the-way and arrived texts give a last heads-up. Clear access notes tell the tech exactly where to go. And a welcome message to new customers can explain once what the crew needs: an open gate, water at the spigot and pets inside. Skipped, Noted, Rescheduled
SolarCleaningBossPro sends every skip back to the office with the tech's note, so it gets a new day and a fixed access note instead of getting lost.
