Deposits for Bird-Proofing Installs: Using a Deposit Invoice Before the Mesh Goes On

A routine solar cleaning costs you a few hours and some water. A bird-proofing install on a big roof costs you materials bought ahead of time, a long day on the calendar and a crew that could have been cleaning other arrays. If the customer cancels the morning of, or simply never pays, you carry all of that. A deposit is how many operators protect themselves.

Why Installs Are Different

The everyday payment flow is described in Auto-Charge at Completion: Getting Paid When the Solar Cleaning Tech Taps Complete. For a cleaning, charging at completion is the right fit. The work is short and the customer has a card on file.

Bird proofing breaks that pattern. You buy mesh and clips sized for this specific array. You block out a day, sometimes more for a large commercial roof. You might turn down cleanings to make room. A deposit puts some of that commitment on the customer, and customers who pay a deposit almost never cancel at the last minute.

A Policy, Not a Button

To be clear about how this works: a deposit is your business policy, and you run it with ordinary invoices. SolarCleaningBossPro does not need a special deposit feature for this. The office sends one invoice for the deposit, and another for the balance after the work is done. What matters is that the policy is written down and applied the same way to every install.

A simple policy might look like this:

Put the policy in plain words on the estimate so the customer sees it before approving.

Step by Step

  1. Send the estimate. Build it from your service list with bird proofing per panel, the cleaning before the install, and any critter guards. Include the deposit policy in the estimate notes.
  2. Customer approves online. The approved estimate becomes the scheduled job.
  3. Send the deposit invoice. A separate invoice with one line, “Deposit for bird-proofing install at 14 Oak St,” for the deposit amount.
  4. Customer pays. They can pay online from the customer app, or the card on file can be charged if they agreed to that.
  5. Order materials and schedule. Once the deposit is in, put the install on the board.
  6. Do the work. Clean, install, take before-and-after photos, tap Complete.
  7. Bill the balance. The final invoice is for the remaining amount, with a note naming the deposit already paid.

Making the Final Invoice Read Clearly

The most common confusion with deposits is the final invoice. A customer who paid a deposit and then sees an invoice for the full amount will think they are being charged twice. Make sure the final invoice is clearly for the balance and says so in plain words: “Balance for bird-proofing install at 14 Oak St. Approved estimate $900, deposit of $300 received on the 3rd, thank you.” With the full price and the deposit both named, the customer can check the math in a few seconds.

Check the final invoice before the card on file is charged. If the tech taps Complete and the card is set to auto-charge, make sure the deposit has been accounted for first. For installs with deposits, many operators set the customer to be charged by the office rather than automatically, just for this one job.

When to Skip the Deposit

Deposits are not for every job. Small installs on a regular customer's roof, added to their next cleaning, usually do not need one. A customer who has paid on time for years has earned some trust. Some operators also skip deposits for commercial accounts on monthly statements, where the install simply appears as a line on the next statement. The point of the policy is to protect you from the jobs where you have the most at risk, not to add a step to every small extra.

Refunds and Cancellations

Decide ahead of time what happens if the customer cancels. If materials were ordered for their array, a reasonable policy keeps enough of the deposit to cover them and refunds the rest. If nothing was bought yet, refund it all. Writing this down before the first deposit saves you from making it up while someone is upset on the phone.
