Switching to New Solar Panel Cleaning Software Without Losing Track of Customers
The biggest fear about switching software is not learning the new screens. It is losing something on the way: a customer who was due next month, a panel count, a gate code, a card on file. With a little planning, none of that has to happen. Here is how to move a solar cleaning company to new software without dropping anyone.
Know Who Is Coming Over
Before you move anything, it helps to know how the new system is organized. Office Users, Employees, PINs and Trucks in Solar Panel Cleaning Software and the article before it covered the structure: clients with addresses, tags, custom fields, office users and employees. Your job in a switch is to get your current information into that shape.
Most companies switch from one of three places: a spreadsheet and paper, a mix of texts and a calendar, or generic field-service software that never fit solar work.
Pick a Quiet Week
Timing matters. Switching in the middle of the busiest stretch of the year means learning new screens while the phone rings nonstop. If you can, switch in a slower week. Give yourself a day to set up and a week of running both side by side if that makes you more comfortable.
Do not switch the crew over mid-shift. Have techs log into the new tech app at the start of a day, not halfway through a route.
Gather What You Have
Before importing, pull everything into one place:
- The customer list, with names, phone numbers, emails and addresses
- Panel counts, mounts, stories and pitch, wherever they are written down
- The date of each customer's last cleaning and how often they want one
- Access notes: spigots, roof access sides, gate codes, dogs
- Your prices, so you can build the service list
If your old system can export a CSV, use it. If your list is a spreadsheet, you already have one.
Import, Then Add the Solar Details
Import the customer list with a CSV. The addresses are placed on the map automatically, so you can see your customers on the map right away. Importing Your Customer List Into Solar Panel Cleaning Software With a CSV covers how to prepare the file.
Then add what makes it solar work: panel details and access notes on each job, and a recurring plan on each address. This is the step that pays off for years, because once it is entered it shows on every visit after.
Don't Lose the Due Dates
The single most important thing to carry over is when each customer is next due. A twice-a-year customer cleaned four months ago should come due in about two months, not today and not in six months.
Set each address's plan (180, 365 or 90 days) and check that its next cleaning lands at the right time on the Waiting List. Then look at the map. If a whole neighborhood shows overdue that you know was just cleaned, something came in wrong. Fix it before you start scheduling from it.
Cards on File
Cards on file usually cannot be copied out of one system and into another. Plan for it. The simplest approach is to ask customers to add their card through the customer app or a sign-up link as their next cleaning comes up. Until then, they get the invoice and can pay online. Over a season, most of your recurring customers will have a card on file in the new system.
Tell Customers and the Crew
Customers will start getting texts and emails from the new system: night-before reminders, on-the-way alerts and invoices. A short heads-up helps: “We have a new system. You will get a reminder the night before and a text when we are on the way.”
For the crew, a ride-along is enough. Show them the login and PIN, the route order, navigation, the panel details on the card, Start / Skip / Complete and photos. Most techs pick it up in a morning.
Ask the crew to confirm panel counts and access notes on every first visit in the new system and write any corrections in the job notes. Within one round of cleanings, every address will have been checked by someone standing in front of it.
Switch Once, Grow From There
A switch done carefully takes about a day of setup and a week of settling in. After that, you have one place for customers, arrays, schedules and billing, and room to add trucks without switching again. To see the system you are switching to, visit the solar panel cleaning software overview.
