Switching Your Solar Cleaning Business to New Software Without Losing a Customer
Switching systems scares owners for a good reason. Your customer list, your recurring schedule and your unpaid invoices are the business. Lose track of any of them during the move and you lose money. The good news is that a switch done in the right order is mostly a few evenings of careful work, not a crisis.
Decide First, Then Plan the Move
If you are still comparing options, Choosing Solar Cleaning Business Software and What It Really Costs covers what to look for and what SolarCleaningBossPro costs. Once you have chosen, set a switch date, ideally at the start of a slower week, not in the middle of spring rush.
Plan to run both systems side by side for a short time. Old invoices get collected in the old system. New work goes into the new one. That overlap keeps anything from falling through.
Step 1: Export Everything You Have
Whether you are coming from spreadsheets or generic field-service software, get your data out before you do anything else:
- Customers. Names, phone numbers, emails.
- Addresses. Every service address, including customers with more than one.
- Last service dates. So you know when each recurring customer is due next.
- Open invoices. Who owes what right now.
- Notes. Panel counts, gate codes, spigot locations, anything you would hate to lose.
Save it as a spreadsheet. Clean it up a little: merge obvious duplicates and fix addresses missing a city or zip code.
Step 2: Import and Check the Map
In SolarCleaningBossPro, CSV import brings your customers and addresses in, and the addresses are placed on the map automatically. Look at the map after import. A pin in the wrong town usually means a bad address in the spreadsheet, and it is much easier to fix now than on route day.
A customer with several addresses, like a landlord or a business with multiple buildings, should be one client with many addresses, not several separate clients. Tag customers as you go: Residential, Commercial, Twice a Year, or any tag that helps you sort.
Step 3: Rebuild Your Price List and Plans
Enter your service list: per-panel price, minimum charge, story and steep-pitch add-ons, bird proofing per panel, critter guards and inspections. The details of setting those numbers are in Pricing Solar Panel Cleaning for Profit: Per Panel, Minimums and Add-Ons.
Then set recurring plans. Each plan has a minimum number of days between visits, such as 180 for twice a year, 365 for yearly or 90 for quarterly arrays. Use your last service dates so plans come due at the right time. When they do, they show on the Waiting List map, colored by whether they are due now or overdue.
Step 4: Panel Details and Cards on File
You do not need every panel detail on day one. Enter what you have from your notes. For the rest, a common approach is to fill in panel count, mount, stories, pitch, extras and access notes on each customer's next visit. Once entered, they show on every visit after.
Cards on file are the part owners worry about most. Card details generally cannot be moved between systems, so plan to collect cards again. Send customers a short, friendly text explaining the change and asking them to add a card in the customer app. Customers can update their card, see invoices and pay there. Give it a couple of weeks, and follow up with anyone who has not added one before their next cleaning.
Step 5: The First Week Live
- Set up techs with their PINs and truck assignments.
- Build the first week's routes on the dispatch board.
- Ride along on the first day, if you are not the one running it.
- Check the Waiting List each morning so nothing that came due gets missed.
- Close out old invoices in the old system as they get paid.
Tell customers what to expect: reminders before their cleaning, on-the-way and arrived texts, and a customer app where they can see the route and pay. Most like the change once they see it.
After the Switch
After a month, check that every recurring customer from your old list has a plan, that panel details are filling in, and that most active customers have a card on file. Then cancel the old system.
SolarCleaningBossPro plans are $59, $89 and $199 per month with a 14-day free trial, which is enough time to import, set up and run a real week before you pay anything. Every guide for owners is on the solar cleaning business software page.
