Moving Recurring Solar Cleaning Customers Off Spreadsheets and Paper

Most solar cleaning companies run their first few seasons on a spreadsheet. One tab for customers, a column for “last cleaned,” maybe a column for “plan,” and a lot of color-coding that only the owner understands. It works until it does not: the busy season hits, nobody updates the sheet, and plan customers start slipping through the cracks. Here is how to move off it without losing anyone.

Signs It Is Time

Bird Proofing and Critter Guards for Solar Panel Maintenance Plan Customers talked about tracking extras on every visit. If that sounds hard to do in your current setup, that is one sign you have outgrown it. Others:

Step 1: Clean Up the List

Before importing anything, spend an hour cleaning the spreadsheet. Remove duplicates. Make sure every customer has a full address, phone and email. Add a column for plan type (yearly, twice a year, quarterly, one-time) and one for the date each customer was last cleaned, if you know it.

A clean list now saves hours of fixing later.

Step 2: Import by CSV

Save the spreadsheet as a CSV and use CSV import to bring your customers into SolarCleaningBossPro. The imported addresses are placed on the map automatically, so your customer base shows up on the map right away.

Commercial clients with several buildings should end up as one client with many addresses, so check those after the import.

Step 3: Set Each Plan

For each plan customer, set the minimum days between visits on their job: 180 for twice a year, 365 for yearly, 90 for quarterly commercial. Add tags like Residential, Commercial and Twice a Year so you can filter and count.

Use the last-cleaned dates from your spreadsheet to decide what to schedule first. Customers who are clearly overdue should go on a truck soon. Once each plan customer has a completed cleaning in the system, their count runs on its own from then on. How the count works is in Minimum Days Between Visits: How 90, 180 and 365-Day Solar Cleaning Plans Work.

Step 4: Fill in Panel Details

Spreadsheets rarely hold full panel details. Add what you know: number of panels, mount, stories, pitch, extras and access notes. Where you do not know, have the tech fill in the gaps in the job notes on the next visit, and update the job afterward.

By the end of the first season, every plan customer should have complete details that show on every visit after.

Step 5: Set Up Cards and Billing

If you have been invoicing plan customers by hand, this is a good time to switch to cards on file. Text each plan customer a short note explaining the new system and pointing them to the customer app, where they can add a card, see invoices and set their alert preferences. Property owners with many sites can be set to Monthly billing.

Not everyone will add a card right away. That is fine. Invoices still go out when the tech taps Complete, and customers can pay online.

Step 6: Run the First Season in the System

The hardest part of switching is the habit. For the first season, commit to running everything through the system: the Waiting List for what is due, the dispatch board for routes, the tech app for Start / Skip / Complete and photos. Keep the old spreadsheet for reference, but stop updating it. Two systems mean neither one is right.

Techs pick up the app quickly. They log in with the company login and a personal PIN, and their day is in route order on the phone.

Give yourself a realistic timeline. Moving a few hundred customers is not a one-afternoon job, and it does not need to be. Many companies import everything in a day, set plans and tags over a week, and fill in panel details over the first season as visits happen. What matters is that the system becomes the one place everyone looks.

Pick a quieter month for the switch if you can, so the office is learning the new system while the Waiting List is light.

Off Paper for Good

One season in, the spreadsheet will feel like a relic. Plans come due on their own, details are on every card and payments happen at completion. For the full picture, see the recurring solar cleaning software page.
